Hemel & Aarde Estate is a beautiful estate that lies at the entrance to the Hemel & Aarde Village and is a short scenic drive from the Hemel-en-Aarde Valley, which is one of the fastest developing wine regions in the country. Surrounded by such natural beauty, it really does seem like, as the name suggests, “heaven on earth.”
But all was not heavenly when it came to the administration of the Hemel & Aarde Estate Homeowners Association. The Homeowners Association was experiencing constant email issues as well as problems with sharing documents. Trying to make sure everyone was up to speed was a nightmare, and when COVID hit, a whole host of new issues emerged, particularly with regards to AGM meetings, as not all owners wanted to physically attend the meetings.
Fortunately, when Hemel & Aarde Estate approached Radical Cloud Solutions to streamline their work processes and increase productivity, we knew exactly what had to be done. How did Radical Cloud Solutions help?
Our first steps were to migrate the client over to Google Workspace. Google Workspace is a collection of productivity and collaboration tools developed by Google. Due to being hosted in the cloud, we didn’t even have to see our client face-to-face to get them set up, which allowed us to easily tackle the many obstacles that the COVID pandemic threw at us.
We assisted them in setting up shared calendars and trained them in their use. We completed a full data migration and set up shared folders, and then assisted in migrating their contacts over from their then current system.
We feel no setup is complete without a bit of training. By adequately teaching our clients how to be self-sufficient, we encourage them to get the most out of the products. We also offer fast and reliable support so that they never have to feel overwhelmed by the changes that have been implemented.
How were the Implemented Solutions received?
By implementing Google Workspace, all homeowners were able to access important documents, while keeping in line with POPI Act guidelines.
Google Forms assisted the committee in confirming venue bookings as well as voting for the Homeowners Association.
Google Calendars has eliminated double bookings of venues and also ensured that all members of the Homeowners Association know when the meetings are taking place.
The implementation of Google Workspace has led to an increase in communication and, as a result, a lot less frustration as everyone in the Homeowners Association knows exactly what is happening.
Remote voting during meetings can now be completed on Google Forms, making the Annual General Meeting more productive.
In total, the implementation has resulted in happier homeowners, less stress for the management company, and quicker turnaround times on queries.
